5 Most Overlooked Things When Planning an Event
Planning an event?

If you're planning an event, whether it's a family or corporate event, there's a lot to do! Here are the top 5 overlooked things when planning an event.

  1. Be prepared for weather – rain, heat & cold. Most people think of a rain plan, but not a “what if it’s super hot” plan or a “what if it gets chilly at night” plan. Think of a tent for shade, fans for cooling. Have cold drinks easily accessible to keep guests from overheating. Consider heaters for a fall event, to help combat cool evenings.
  2. Permits, Engineered Inspections & Proper Insurance are all imperative to a successful event. Unfortunately some people don’t see the value in these things, but rather just the added cost, until something goes wrong at an event. Being prepared ahead of time is key.
  3. Have an emergency plan in place for weather or any other emergency that may require evacuation. Know where exits are and have all staff and volunteers made aware of the plan. Again, being prepared ahead of time is key.
  4. Consider the “extras” when planning an event that could become a rush to put together at the end if you don’t plan ahead. For instance, be sure to think of décor, lighting, linens and other things that bring your party together in advance to have the best selection and ensure availability.
  5. Though not the most exciting part of party planning, have proper washroom facilities is extremely important. In some municipalities there are certain number of facilities required based on the guest count. Do your research and ensure you have what you need both to ensure your guests are comfortable and also to ensure your event is hygienic and follows proper protocol based on where you are hosting your event. Don’t forget about proper hand washing facilities as well.
We'd like to again reiterate the importance of insurance for all events, whether there is alcohol being served or not. Many are surprised to learn that having an event liability insurance policy in place is critical for gatherings of all types, including:

  • Weddings
  • Meetings
  • Conventions
  • Charity Events
  • Job Fairs
  • Picnics
  • Awards Presentations
  • Family Reunions
  • Stag & Does
  • Single or Multi-Day Events
